Troubleshooting & FAQ
Why Isn’t My Invoice Currency Converting Correctly?
Diagnose exchange rate caching, client-specific currency locks, dual currency overrides, and payment gateway settlement discrepancies.
Flanceflow supports seamless dual-currency operations (such as billing international clients in USD while accounting in INR, or vice versa) with automated exchange rate updates. If an invoice or cash flow dashboard total doesn’t appear to reflect current market currency conversions, here is how the conversion engine operates and how to resolve discrepancies.
How to diagnose & fix currency conversion issues
- Understand invoice locking: Once an invoice is finalized or sent to a client, Flanceflow permanently locks the exchange rate that was active at the moment of invoice creation. This is intentional: historical accounting records must never fluctuate with daily forex market changes.
- Check client preferred currency: Open the client profile from the "Clients" tab. Verify whether the client has a specific "Preferred Currency" set (e.g., USD). If set, new invoices created for this client will default to that currency regardless of your workspace primary default.
- Check manual exchange rate overrides: Open the invoice editor and review the currency settings. If you manually typed a custom exchange rate when drafting the invoice, the manual rate supersedes automated API rates.
- Refresh exchange rates on draft invoices: If an invoice is still in "Draft" status, click "Edit Invoice", open the Currency dropdown, and click "Fetch Current Live Rate" to pull the latest forex rate.
- Review payment gateway settlement currencies: Payment processors may settle in your linked merchant bank currency. Small differences between invoice totals and bank deposits can reflect foreign-exchange margins and processing fees.
Currency conversion behavior by state
| Invoice status | Exchange rate source | Can rate be changed? | Accounting impact |
|---|---|---|---|
| Draft | Live forex API or manual rate | Yes, click "Fetch Current Live Rate" | Preview amounts update in real-time |
| Sent / Viewed | Locked at time of sending | No, preserves legal contract terms | Client owes exact specified currency amount |
| Paid | Locked at time of payment confirmation | No, permanent audit record | Reconciles with payment gateway bank deposit |
| Void | Frozen permanently | No | Zero effect on active revenue totals |
Currency best practices
- Set client default currency once: In the client roster, assign each client their home currency (e.g., USD for US clients, EUR for European clients, INR for Indian clients) so you never have to toggle currencies manually.
- Buffer for forex fluctuations: When quoting long-term 6-month projects in a foreign currency, factor in a 3-5% exchange buffer or quote in milestone increments to mitigate macro currency volatility.
- Dashboard multi-currency toggle: On the Cash Flow and Invoices dashboards, click the currency toggle button in the top bar to switch between viewing all totals in your workspace primary currency vs original billing currencies.
