Invoice Verification Flow

A step-by-step quality control checklist to review tax compliance, currency codes, bank details, and scopes before issuing client invoices.

Sending an invoice with the wrong client legal name, missing tax ID, or incorrect bank routing numbers causes embarrassing payment delays and accounting headaches. Use this 6-step pre-flight verification checklist before hitting "Send".

Pre-flight invoice verification checklist

  1. Check Billed To entity: Ensure the client’s legal company name and registered address match their official contract records.
  2. Verify Tax ID: If issuing a B2B tax invoice, confirm both your tax ID and the client’s registration number are populated for input credit.
  3. Review Currency Symbol: Double-check that the currency matches the contract (USD $ vs INR ₹) and that line items are accurately computed.
  4. Confirm Payment Due Date: Verify that the due date matches your agreed payment terms (e.g. Net 14) and does not land on a major national banking holiday.
  5. Audit Bank & Payment Instructions: Confirm your active bank account numbers, SWIFT codes, or online payment gateways are clearly listed.
  6. Inspect Line Item Descriptions: Verify that deliverable descriptions are clear, professional, and free of internal jargon or shorthand.

Quality control tips

  • Self-review in Preview Mode: Always click "Preview" to inspect the final rendered invoice as your client will see it before finalizing.
  • Draft state security: Draft invoices can be edited endlessly without affecting your revenue stats or invoice sequence numbers.
  • Confirmation receipt: Keep your notification preferences turned on in Settings to receive an instant ping when your invoice is successfully opened and paid.
