Built-in Freelance Tools
Pricing Calculator
Calculate your ideal hourly rate, day rate, and project quote based on your target annual income, business overhead, non-billable hours, and profit goals.
Most freelancers significantly undercharge because they divide their target annual income by 2,080 working hours without accounting for taxes, health insurance, software licenses, sick days, vacations, or non-billable administrative time. Flanceflow’s built-in Pricing Calculator uses proven agency economics to compute your exact sustainable hourly rate, minimum project threshold, and target profit margin.
How to calculate your freelance rates
- Click on "Tools" in the main left sidebar navigation and select "Pricing Calculator".
- Step 1: Enter your Target Annual Net Income (the take-home cash you want to earn per year).
- Step 2: Enter your Annual Business Overhead expenses (software subscriptions, equipment depreciation, coworking rent, accounting fees).
- Step 3: Estimate your Annual Tax & Insurance obligations (e.g., 20-30% self-employment tax and health coverage).
- Step 4: Specify your billable capacity: enter your desired vacation weeks (e.g., 4 weeks) and realistic billable hours per week (freelancers typically bill 20 to 25 hours per week).
- Step 5: Select your target Profit Margin buffer (recommended 15% to 25% to build emergency reserves).
- Click "Calculate Sustainable Rates". Flanceflow instantly displays your minimum break-even hourly rate, target hourly rate, recommended day rate, and base weekly retainer quote.
- Click "Save as Workspace Standard" to automatically apply these rate benchmarks to your Flanceflow service templates.
Pricing calculator benchmark variables
| Input variable | Freelance average | Why it matters | Adjustment impact |
|---|---|---|---|
| Target Net Income | $60,000 - $120,000+ | Your personal living requirements and savings target | Directly scales base baseline fee |
| Annual Overhead | $5,000 - $15,000 | SaaS tools, hosting, laptop hardware, accountant fees | Must be fully recovered before profit begins |
| Billable Hours / Week | 20 - 25 hours | Time spent directly on client deliverables (not marketing/admin) | Overestimating billable hours causes drastic undercharging |
| Profit Margin Buffer | 20% | Studio emergency fund, slow months, business reinvestment | Protects against unbilled client delays |
How to use your calculated rates
- Day rate rule of thumb: A standard freelance day rate is typically 7 to 8 times your hourly rate, which gives clients predictability while guaranteeing a daily minimum commitment.
- Value-based pricing multiplier: Use your calculated hourly rate as your internal floor cost. When quoting high-impact commercial clients, mark up 1.5x to 3x based on the value delivered to their bottom line.
- Annual rate review: Re-run the pricing calculator every January or whenever major personal or overhead expenses change.
