Tracking Client Relationship Health & Follow-ups
Monitor relationship scores based on invoice turnaround, recent touchpoints, and follow-up frequency to prevent client churn.
Healthy client relationships are the lifeblood of sustainable freelancing. Flanceflow calculates an automated Client Relationship Health Score based on payment promptness, days since last contact, and project momentum.
How to monitor client health
- Navigate to the Clients overview dashboard.
- Sort or filter your client table by "Health Score" or "Last Contacted".
- Click on any client with a yellow or red indicator to inspect the breakdown.
- Check the three core signals: Days Since Last Touchpoint, Average Days to Pay Invoices, and Open Project Status.
- If a client has had no communication for over 30 days, click "Schedule Follow-up" to draft a friendly check-in email.
- Once sent, log the touchpoint to reset the relationship health timer to green.
Health score indicators explained
| Health indicator | Status | Underlying triggers | Recommended action |
|---|---|---|---|
| Strong (Green) | 90-100% | Recent meeting <14 days, invoices paid on time, active deliverables | Keep up consistent delivery; ideal time to ask for referrals. |
| Moderate (Yellow) | 60-89% | No contact for 21-45 days, or minor payment delay of 3-7 days | Send a lightweight check-in or share a helpful project update. |
| Needs Attention (Red) | <60% | Overdue invoice >14 days, or no communication in 60+ days | Reach out directly by phone; audit whether retainer is at risk of churn. |
Retention tips for freelancers
- Quarterly re-engagement: Filter by "Completed" clients every quarter and send a quick message sharing new capabilities or availability.
- Payment speed insights: Clients who consistently pay invoices within 24 hours are prime candidates for long-term monthly retainer agreements.
- Proactive updates: Send weekly 2-minute async Loom or email updates to keep client relationship health consistently in the green.
