Client Portal & Files

What Clients Can/Can't See in the Portal

A definitive privacy guide explaining the exact data boundary between your internal workspace and what is exposed to clients in the public portal.

When sharing a client portal link, you need 100% confidence that internal studio notes, subcontractor hourly costs, and private drafts remain confidential. Flanceflow strictly enforces client visibility boundaries.

Auditing portal visibility

  1. Inside your project workspace, open the "Portal Settings" drawer.
  2. Review the toggle switches for each major section: Timeline, Milestones, Invoices, Files, and Notes.
  3. Toggle OFF any section you prefer to keep private (for example, turn off Invoices if your client’s procurement department handles billing separately).
  4. Click the "Preview as Client" button in the upper right.
  5. Flanceflow will open a preview window rendering the exact screen your client will see, allowing you to verify privacy before sending.

Privacy management tips

  • Preview before sharing: Always click "Preview as Client" before sending a portal link to verify that only final assets are highlighted.
  • Custom welcome note: Use the Portal Settings to add guidance on how you want feedback formatted (e.g., "Please bundle all revision feedback into one submission").
  • Link revocation: If a client engagement terminates, disable the portal toggle or regenerate the token to cut off access instantly.
