Project Progress Calculation

Understand how Flanceflow calculates weighted project completion percentages across tasks, milestones, and deliverable sign-offs.

Clients frequently ask, "How far along is the project?" Rather than guessing a subjective number, Flanceflow computes an objective, weighted Progress Percentage based on completed tasks, closed milestones, and approved deliverables.

How progress percentage is derived

  1. Open any project dashboard to inspect the circular progress gauge and percentage badge.
  2. Task Completion Ratio: Tasks marked "Completed" in the Kanban board contribute proportionally to the progress bar.
  3. Weighted Milestones: If you assign point weights (e.g. Phase 1 = 20 points, Phase 2 = 50 points, Phase 3 = 30 points), Flanceflow calculates completion based on weighted milestone deliveries.
  4. Sub-task checklists: Checking off items within individual tasks incrementally increments the task’s contribution.
  5. Manual override: If a project is placed "On Hold", the progress percentage is frozen; if marked "Completed", it automatically snaps to 100%.

Progress tracking tips

  • Transparent client updates: The circular progress bar is displayed directly in the public client portal, reassuring clients that work is moving forward.
  • Scope additions: If the client adds 5 new tasks mid-project, the progress bar will realistically adjust downward to reflect the expanded scope.
  • Retainer progress: For monthly retainers, the progress bar tracks logged hours against the monthly hour cap rather than fixed tasks.
