Client Portal & Files
Marking Files Visible to Client
Control exactly which deliverables, mockups, and invoices are shared with clients and which remain private studio drafts.
During creative production, you will have internal scratchpads, moodboard references, and rough drafts that are not ready for client eyes. Flanceflow provides a definitive "Client Visibility" toggle on every asset.
How to toggle client visibility
- Navigate to the "Files & Deliverables" section of your project workspace.
- Notice the badge on each file card: "Internal Only" (gray) or "Client Visible" (green eye icon).
- To make a file visible to your client: Click the toggle switch or select "Make Visible to Client" from the file card menu.
- The file card will instantly turn green and appear in the public client portal feed.
- To hide an asset again (for example, if you uploaded the wrong draft): Toggle the switch back to "Internal Only". It disappears from the client portal immediately.
Visibility states and client access
| Visibility state | Indicator | Client portal access | Direct download link status |
|---|---|---|---|
| Internal Only (Default) | Gray padlock icon | Completely hidden from client portal page | Direct link returns access denied. |
| Client Visible | Green eye icon | Displayed prominently in the client deliverable grid | Client can preview, download, and comment. |
| Client Approved | Emerald checkmark badge | Highlighted as finalized and locked | Permanent high-speed download link. |
Visibility best practices
- Batch visibility toggle: Need to publish 10 illustrations at once? Select multiple files using the checkboxes and click "Make Selected Visible" in the batch action bar.
- Draft preparation: Upload all deliverables the evening before your presentation with visibility set to "Internal", then toggle them to "Visible" 10 minutes before your client call.
- Client download metrics: Check the "Downloaded X times" counter on each file card to see when your client has retrieved their files.
