Payments & Cash Flow

Collected, Pending, Overdue: How to Track Freelance Cash Flow

Master collected, pending, and overdue buckets to eliminate late payments, track freelance cash flow in real time, and protect your take-home revenue.

Freelance financial stability depends on knowing the difference between money in your bank, money on the way, and money at risk. Flanceflow categorizes all receivables into three clear buckets: Collected, Pending, and Overdue.

Understanding the three cash flow categories

  1. Open your main Dashboard or Payments page to inspect the three top KPI summary cards.
  2. Collected: Actual money received and reconciled into your account during the selected time period.
  3. Pending: Invoices that have been issued and sent to clients whose due dates have not yet passed (healthy future receivables).
  4. Overdue: Invoices that have passed their payment due date without being marked as paid (urgent capital at risk).
  5. Click on any of the three cards to instantly filter the underlying invoice table by that exact status.
  6. Review your Overdue bucket weekly to dispatch polite automated reminders or follow up personally with client procurement.

Cash flow optimization tips

  • Shorten your payment windows: Moving from Net 30 to Net 14 or Net 7 cuts your average pending cycle in half and dramatically accelerates studio cash flow.
  • Deposit protection: Never allow a new project to start if that client has an outstanding balance in the Overdue bucket.
  • Live cash flow dashboard: Read our in-depth guide on building a complete freelance cash flow dashboard to track advance client deposits, aged receivables, and rolling revenue projections.
  • Exporting receivables: Click "Export Aging Report" to download a summary showing 30-day, 60-day, and 90-day overdue accounts for end-of-year tax planning.
